Job Description

Roles & Responsibilities
Purpose of Job
  • You will be part of a dynamic team that is responsible for the day to day operations of the building facilities. You will assist the facilities manager to manage contractors to ensure the building facilities are well maintained. You will also be appointed as the Fire Safety Manager and take the lead in fire safety related matters.
Duties
  • Plan, execute and supervise facility management related contracts, such as building and estate maintenance, mechanical & electrical maintenance, conservancy and horticultural maintenance to ensure goods and services are provided in accordance with Contracts’ Specifications
  • Ensure all maintenance requests / feedback are attended to in accordance with stipulated performance indicators
  • Carry out regular joint site inspections with contractors to identify potential service performance lapses, and to propose remedial actions
  • Issue works orders for maintenance / repairs / replacement works to contractors promptly in accordance with established procedures
  • Verify and confirm satisfactory completion of work done, as well as invoice certification to facilitate payment to contractors
  • Regulate fire safety, workplace safety and health matters in compliance with existing regulations
  • Contingency and emergency response planning for the property
  • Attend to emergency incidents at the property
  • Liaise with other government agencies relating to facilities management issues
  • Assist the facilities manager to manage estate related feedback, analyse the trends and propose improvement plans
  • Assist the facilities manager in contracts related work such as calling quotations, drafting of Procurement Requests, evaluation of quotes and tenders
Requirements
  • Knowledge or experience in Civil Engineering / Mechanical / Electrical / Estate Management, Property Management / Building Management / Building Services or equivalent
  • Certified Fire Safety Manager by local Authority
  • Preferably with minimum 5 years of relevant experience in facilities management in industrial / commercial properties

  • Possess good communication, interpersonal and writing skills as well as proficient in Microsoft Office applications

  • Experience in government procurement in tender and contract administration will be an added advantage
