Under general supervision, is responsible for performing general and varied clerical tasks; performs related duties as required.

Since a tested eligible list is not active for this classification at this time, this position will be filled on a PROVISIONAL basis. At such time an examination is given for this classification, the preferred candidate serving in the class provisionally will be required to take the examination. The preferred candidate at that time must pass the exam to continue employment in this classification. Please contact the Civil Service Commission if you would like additional information regarding this process.

Examples of Work

(Any one position may not include all of the duties listed, nor do the examples cover all of the duties that may be performed.)

Uses a computer to input and access information, produce word processing documents; update and maintain spreadsheet and databases; uses computer to send and receive electronic messages;

Answers general questions from internal and external customers by telephone or in person regarding policies and procedures, rules and regulations, City code, or departmental programs or functions;

Maintains records of employee attendance, leave, and overtime in accordance with union contract provisions; reconciles leave balances by comparing timecards, leave slips submitted, and/or computerized time clock data;

Operates complex office equipment such as commercial grade envelope stuffers, scanners, imaging equipment, postage meters, etc.

Receives customers in public reception area such as an application counter or information desk; assists customers in preparing applications, permits and licenses;

Receives correspondence, mail or special delivery; signs for merchandise, letters, and packages; prepares correspondence for mailing, delivery, or pick-up; prepares letters or renewal packets for periodic mailings;

Maintains office equipment; initiates service orders; orders supplies;

Proofreads created documents and makes necessary revisions, additions and deletions;

Tabulates numbers and compiles information for various reports, reconciling discrepancies as they arise; compiles data; makes simple calculations.

Minimum Qualifications

Completion of the twelfth school grade and one (1) year of general office experience. Substitution(s): A certificate of high school equivalence (GED) will be accepted in lieu of a high school diploma. College training may be substituted for the required experience on a year-for-year basis (thirty (30) semester/forty-five (45) quarter credit hours equals one (1) year).
